Position Overview
- The Operations and Grants Coordinator will play a key role in strengthening the operational systems and funding pipeline of OneAfricanChild Foundation. This position focuses on grant development, operational coordination, and knowledge management.
- The successful candidate will be responsible for identifying and securing funding opportunities, coordinating day-to-day organizational activities, and ensuring that the organization’s programs run efficiently and sustainably.
- This position requires a highly proactive self-starter who can independently identify opportunities, take initiative, and help expand the organization’s reach and impact.
Primary Responsibilities
Grants and Funding Development (50%):
- Identify, research, and track grant opportunities from foundations, international organizations, and corporate donors with the goal of submitting at least 2-3 high-quality grant applications per quarter.
- Lead the full grant application process, including drafting proposals, coordinating input from leadership and volunteers, assembling supporting documents, preparing budgets where required, and ensuring applications meet all submission guidelines and deadlines.
- Maintain a detailed grant tracking system that records upcoming opportunities, submission deadlines, application status, and funding outcomes.
- Prepare and submit grant reports and updates required by funders, ensuring all reporting deadlines are met and documentation is accurate.
- Track funding results and provide quarterly summaries of grant activities, including applications submitted, outcomes, and upcoming opportunities.
Operations and Program Coordination (20%):
- Support the day-to-day operational activities of the organization, ensuring that programs, meetings, and activities are running smoothly across all regions.
- Coordinate the planning and execution of workshops, school visits, and community outreach activities, ensuring timelines, logistics, and communication are properly managed.
- Communicate regularly with regional representatives, volunteers, and team members to ensure alignment on activities and follow-up on ongoing initiatives.
- Provide monthly operational updates to the leadership team summarizing progress, challenges, and upcoming activities.
Partnerships and Stakeholder Engagement (20%):
- Strengthen existing partnerships with schools, organizations, and community partners, while proactively identifying new collaboration opportunities aligned with the organization’s strategic priorities.
- Respond to inquiries from organizations or individuals interested in collaborating with or supporting the foundation, ensuring timely and professional communication.
- Support representation of the organization in events, conferences, and meetings that strengthen partnerships and visibility.
Knowledge Management and Digital Coordination (10%):
- Maintain a structured digital knowledge database where training materials, toolkits, curriculum resources, and program outputs developed by the organization are stored and easily accessible.
- Ensure that educational resources produced by the organization are actively shared and promoted to relevant stakeholders such as schools, teachers, youth organizations, and community groups.
- Track engagement and usage of educational materials, including downloads, feedback, and adoption by partner institutions.
- Work with leadership to ensure that program materials, toolkits, and resources are regularly updated and visible through the organization’s website and digital platforms.
Volunteer Coordination & Engagement:
- Maintain active communication with the organization’s network of volunteers and regional representatives to keep them abreast of programs and opportunities for engagement.
- Coordinate volunteer participation in programs and ensure they receive clear guidance and updates on activities.
- Facilitate internal coordination to ensure team members remain aligned with the organization’s goals and activities.
Key Performance Expectations:
Within the first year, the Operations and Grants Coordinator is expected to:
- Submit 8-12 grant applications, and maintain a consistent pipeline of funding opportunities.
- Ensure smooth coordination of organizational programs and outreach activities.
- Maintain a fully organized digital documentation and knowledge system.
- Support development of new partnerships and collaborations that expand the organization’s reach.
Job Requirements:
- Education: Minimum Bachelor’s degree or equivalent experience in education, project management, public administration, nonprofit management, or a related field.
- Experience: Minimum 2-3 years experience in one or more of the following areas: Grant writing, Nonprofit program coordination, Operations management, Development or fundraising.
Required Skills:
- Strong grant writing and research skills.
- Excellent written and verbal communication.

- Strong organizational and documentation skills.
- Ability to manage multiple deadlines and priorities.
Other technical requirements
- Reliable high-speed internet connection
- Proficiency in Zoom or other virtual meeting platforms
- Proficiency in Microsoft Excel or Google Sheets
- Experience using Google Workspace (Docs, Drive, Forms)
- Familiarity with basic website management platforms (e.g., WordPress)
Additional Desirable Skills:
- Familiarity with Sustainable Development Goals (SDGs) and global education initiatives
- Experience working with international donors or development partners
- Experience in monitoring and evaluation
Performance Review and Probationary Period
The position includes an initial six-month probationary period. During this time, performance will be assessed based on progress toward grant submissions, operational coordination, and overall contribution to the organization’s growth. A formal review will be conducted at the end of this period to determine continuation of the role.
